How does the AI receipt scan work?
Tap "Snap a Receipt," frame the receipt in the camera viewfinder, and capture. Snapledgr sends the image to Google's Gemini Vision service, which extracts the merchant, total, date, tax, tip, and any line items. The app suggests an IRS Schedule C tax category based on the merchant. You confirm or edit the extraction on the next screen, then save.
What is Schedule C?
Schedule C (Form 1040) is the IRS tax form self-employed individuals, freelancers, and gig workers use to report business profit or loss. It has 22 expense categories — Office Expense, Travel, Meals, Supplies, and so on — each with a specific line number. Snapledgr maps every receipt to one of these categories so that, at tax time, your records are already organized the way the IRS expects them.
Does Snapledgr give me tax advice?
No. Snapledgr is an organizational tool — it helps you photograph receipts, categorize them, and export them at tax time. The category suggestions, deductible calculations, and AI annual summary are provided to help you organize your records. They are not a substitute for advice from a qualified tax professional. Always verify your figures with a CPA or tax preparer before filing.
What's the free tier limit?
Free users get 15 AI receipt scans per month. The counter resets at the start of each calendar month. Manual Entry, the ledger, mileage manual entry, the Receipt Vault, and category suggestions for previously seen merchants (via MerchantMemory) all remain unlimited on the free tier.
If I cancel a scan at the confirmation screen, do I lose a free scan?
No. The free-tier counter only decrements when you tap Save on a scanned receipt. If you cancel from the confirmation screen — for any reason — your scan count is unaffected.
How does the mileage rate work?
Snapledgr uses the current IRS standard mileage rate (currently $0.67 per mile for 2024) to calculate your deductible amount per trip. The rate is published annually by the IRS each December. Snapledgr updates the rate automatically via Firebase Remote Config — you don't need to update the app. You can also tap the refresh button next to the rate in Settings to pull the latest at any time.
What's the difference between manual mileage entry and GPS auto-track?
Manual entry (free) lets you type the start time, end time, miles, locations, and purpose of a trip you've already taken. GPS auto-track (Pro) lets you tap "Start Trip" before you drive and "Stop Trip" when you arrive — the app uses your device's location services to calculate total miles automatically. Your raw GPS route is processed entirely on your device and is never sent to Snapledgr or any third party; only the calculated total miles is saved.
How do I export at tax time?
With a Pro subscription, go to the Reports tab, set the tax year (defaults to the current year), and tap either "Export CSV" for a spreadsheet-ready file with Schedule C-aligned columns, or "Export PDF Tax-Prep Report" for a polished document with cover page, category-by-category breakdown, mileage section, AI annual summary, and an appendix of all your receipt images. Both files are delivered via the standard share sheet — Mail them to your accountant, save them to Files, or AirDrop them to a desktop.
How is my data stored? Is it in the cloud?
No cloud. All your receipts, expenses, mileage trips, projects, and category preferences are stored locally on your device using SwiftData. Receipt images are stored in Snapledgr's app sandbox. Your live GPS location during an auto-tracked trip stays entirely on your device — only the calculated total miles is saved. We do not run a server that stores any of your data.
Can I use Snapledgr without AI?
Yes. The "Manual Entry" path lets you log a receipt by hand without sending anything to AI services. Toggle "AI Receipt Reading" off in Settings if you'd like to disable AI features entirely. The ledger, mileage tracking, the Receipt Vault, projects, and exports all continue to work normally with AI off.
What is "Clear AI Learning" in Settings?
Snapledgr remembers which Schedule C category you typically choose for each merchant, so the second time you scan a receipt from "Office Depot," it can suggest "Office Expense" instantly without an AI call. The "Clear AI Learning" button wipes this learned category preference database. The button is separate from the AI consent toggle — turning AI off doesn't forget what the app has learned, and clearing the learning doesn't disable AI. Use whichever you need.
How do I manage my subscription?
Go to your device's Settings > Apple ID > Subscriptions to view, change, or cancel your Snapledgr Pro subscription. You can also tap "Restore Purchases" in the Snapledgr Settings tab to sync your subscription status with Apple.
I purchased Pro but it's not showing up
Open Snapledgr, go to Settings, and tap Restore Purchases. This will sync your subscription status with Apple. If the issue persists, contact us below.
How long should I keep my receipts?
The IRS generally recommends keeping records that support an item of income, deduction, or credit on your tax return for at least three years from the date you filed, or the date the tax was paid (whichever is later). For some situations, a longer retention period applies. Consult your tax professional. Snapledgr's "Manage Storage" feature in Settings lets you delete receipt images by year when you're ready to clean up.
What happens to my data if I uninstall?
Uninstalling Snapledgr removes all locally stored data — receipts, ledger, mileage trips, projects, MerchantMemory entries, and receipt images. Because Snapledgr does not back data up to a server, this is permanent. We recommend exporting your data via the Reports tab (Pro) before uninstalling if you want a copy.
