Pearlcity LLC (“we,” “our,” or “us”) operates the CareerMynd application for iPhone, iPad, and Mac (the “App”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our App.
CareerMynd is a job-application pipeline tracker. The App helps you track every job application you submit through the stages of Applied, Screen, Interview, Offer, and Decision; log interviews and notes; generate polite follow-up emails; prepare for interviews with AI-tailored questions; and (with a Pro subscription) prepare negotiation talking points for offer calls.
Please read this privacy policy carefully. If you do not agree with the terms of this privacy policy, please do not access the App.
Privacy at a Glance. CareerMynd does not maintain user accounts or store your data on any server we operate. Your applications, interviews, notes, follow-up emails, interview prep, négotiation prep (Pro), résumé text, and preferences are stored on your device using Apple’s SwiftData framework and synced across your own devices via your private iCloud account. The only data that leaves your device’s private storage is (a) iCloud sync, which goes only between YOUR devices and is encrypted at rest by Apple, and (b) the specific text you choose to send when you tap a Generate button on an AI feature, which is sent to Google’s Gemini AI service to produce the response.
We collect information that you voluntarily enter when using the App:
CareerMynd does not collect or store:
Local-first. All of your data is stored on your iPhone, iPad, or Mac using Apple’s SwiftData framework. The App has no separate server-side database. If you delete the App and have iCloud sync disabled, all locally stored data is permanently removed.
CareerMynd uses Apple’s private CloudKit database (container
iCloud.com.careermynd.app) to keep your data in sync across your own devices — the same
applications, interviews, notes, and résumé appear on every device signed into the same Apple ID.
The private CloudKit database is hosted on Apple’s iCloud infrastructure under your own iCloud account. Pearlcity LLC does not have access to it. Apple encrypts the data at rest. Only you, signed into your own Apple ID, can read or write to it. We cannot read your applications, your résumé, or any other data you store in the App.
If you do not want your data to sync across devices, you can sign out of iCloud or disable iCloud Drive for CareerMynd in iPhone Settings → Apple ID → iCloud → Apps Using iCloud. The App will continue to work in local-only mode on the device.
If iCloud is unavailable on your device (no iCloud account, restricted by your organization, etc.), the App falls back to local-only storage automatically. No data loss occurs in either direction.
Important: AI Data Processing Disclosure. CareerMynd uses Google’s Gemini AI to power three optional features: AI follow-up email drafting, AI interview prep, and (with a Pro subscription) AI negotiation talking points. This section explains exactly what data is shared, with whom, and how you can control it.

Even when you use an AI feature, the following is NEVER sent to any external service:
Your data is processed by Google’s Gemini AI to generate the requested response. Google processes this data according to:
Per Google’s Gemini API terms, data sent through the paid API tier is not used to train Google’s AI models.
Browsing your pipeline, viewing applications, adding or editing applications, logging interviews, taking notes, searching, filtering, viewing the Companies tab, viewing the Insights tab, managing your résumé, and adjusting Settings do NOT send any data to Google or any other AI service. Every non-AI feature works fully offline on your device (and across your own devices via iCloud).

Calendar (NSCalendarsFullAccessUsageDescription): required only if you tap “Add to Calendar” on an interview. The App opens the system add-event sheet pre-filled with the interview details. You confirm whether to save the event in the system sheet. The App does not read or modify any other Calendar events.
Contacts (NSContactsUsageDescription): optional. Only used when you compose a follow-up email and the App offers to suggest a recruiter you’ve previously saved in your Contacts. You can deny this permission and use the App fully — the recruiter name is just a free-text field, the Contacts read is a convenience to avoid retyping. Contacts data is never sent to AI or to any external service.
Before any data is sent to Google’s Gemini AI service, the App presents a clear consent screen on first launch (between onboarding and the main app) that explains:
You must explicitly accept this consent before any AI features are activated. If you decline, the App continues to function — you can still track applications, log interviews, take notes, view the Companies and Insights tabs, and use everything except the three AI generators.
You can revoke your AI data consent at any time:
When you revoke consent, no further data will be sent to any AI service. Previously saved follow-up emails, interview prep, and negotiation prep packets remain stored on your device and in your private iCloud.
In Settings → AI Features you can independently control whether the recruiter’s name (if you have entered one) is included in the prompt sent to Gemini for the AI follow-up email feature. With this toggle off, the App replaces the recruiter’s name with a generic placeholder (“the recruiter”) before the prompt leaves your device. Interviewer names from your interview records are never included in any AI prompt regardless of the toggle’s state.
CareerMynd offers an optional subscription, CareerMynd Pro, that unlocks unlimited AI generations, multi-pipeline organization, negotiation prep, CSV export, and more applications. Subscription billing is handled entirely by Apple via StoreKit 2. We do not receive your payment details. We only receive an anonymous transaction receipt that confirms whether you have an active subscription.
You can manage or cancel your subscription anytime via iPhone Settings → Apple ID → Subscriptions.
California residents have the right to know what personal information is collected, request deletion, and opt-out of sale. We do not sell your data and we do not maintain personal information on any server, so most of these rights are exercised automatically by uninstalling the App and deleting the iCloud data as described in section 6.
EEA residents have the right to access, rectify, erase, restrict processing, and port their data. Since all data is stored on your device and in your own private iCloud, you can exercise these rights directly through the App by editing or deleting individual entries, exporting via the Pro CSV export, or by uninstalling the App and deleting the iCloud data entirely.
CareerMynd is intended for users aged 13 and older. We do not knowingly collect personal information from children under 13. If you believe a child has used the App in a way that we should know about, please contact us at appfactory1970@gmail.com.
CareerMynd is a job-search organization and drafting tool. It is NOT a substitute for legal advice, HR guidance, financial advice, professional career counseling, or employment-law expertise.
AI-generated follow-up emails, interview questions, model answer scaffolds, and negotiation talking points are best-effort outputs and may contain inaccuracies, oversimplifications, or suggestions that are not appropriate for your specific situation. Always review every generated email before sending; treat interview prep and negotiation prep as study material for your own preparation, not as a script to read verbatim.
Compensation figures, market context, and salary recommendations produced by AI are estimates based on the information you provided plus the model’s general training data. They are not based on real-time market data and may be inaccurate. Verify against sources you trust (Levels.fyi, Glassdoor, your network) before negotiating.
CareerMynd does not constitute the practice of law and does not provide employment-law advice. If you have questions about an offer, a non-compete, a severance agreement, or any other legally significant employment document, consult a qualified employment attorney in your jurisdiction.
We do not sell, rent, or trade your personal information, applications, résumé content, or any other data to third parties for any purpose whatsoever.
We may update this Privacy Policy from time to time. We will notify you by updating the “Effective Date” at the top of this policy. Your continued use of the App indicates acceptance of the updated policy.
