CareMynd ("we," "our," or "us"), developed by Pearlcity LLC, respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what data CareMynd collects, how it is used, and the choices available to you when you use the CareMynd application.
The short version: Your parent profiles, medications, appointments, observations, care team contacts, and saved reports are stored locally on your device. We do not run a cloud backend. When you use an AI feature, only the medical context relevant to that question (your parent's age, conditions, current medications, and the appointment or home-setup details) is sent to Google's Gemini AI service. Your parent's name, your name, your location, contact information, and any other personal identifiers are never sent.
CareMynd is not medical advice and is not a substitute for a licensed physician, pharmacist, nurse, or other healthcare professional. AI-generated visit prep reports, home readiness plans, questions to ask the doctor, and care suggestions are organizational tools to help you prepare for appointments and conversations with your parent's care team. They are not a diagnosis, not a treatment recommendation, and not a guarantee of outcome. Always consult your parent's doctor, pharmacist, or care team for medical decisions, medication changes, and clinical concerns. Call 911 or your local emergency number for medical emergencies.
1. Information We Collect
Information You Provide
- Parent profile: The parent's name (or nickname like "Dad" or "Mom"), date of birth or age range, relationship, and active medical conditions you select from a list of common conditions (diabetes, hypertension, mild cognitive impairment, Parkinson's, Alzheimer's, fall history, etc.). Stored locally on your device.
- Medications: The medication name, dose, schedule, prescribing doctor (if entered), and any notes you add. Stored locally.
- Appointments: The provider's name, specialty, date and time, location, and reason for visit. Stored locally.
- Care team contacts: Doctor, pharmacist, specialist, and emergency contact names, phone numbers, and notes you choose to save. Stored locally.
- Observations: Free-text notes the caregiver logs about their parent's health, mood, or behavior, plus optional vitals like blood pressure, temperature, or weight. Stored locally.
- Caregiver concerns: Optional one-line context you can add when starting an AI feature (for example, "She's been more confused this week" or "Worried about the new dizziness"). Stored locally with the resulting report.
- Saved AI reports: Visit Prep reports and Home Readiness plans you choose to save. Stored locally.
Automatically Collected Information
- Free tier usage count: The number of AI actions you have used in the rolling 365-day window starting from your first AI action (out of 5 free) is stored locally to enforce the free tier limit. CareMynd does not reset this counter monthly; the window rolls forward day by day.
- Subscription status: Managed by Apple's StoreKit framework. We do not see or store your payment information.
- Device information: Device model, operating system version, and CareMynd app version may be referenced for compatibility and troubleshooting. Not transmitted to a server.
2. How We Use Your Information
- To generate a structured Visit Prep report — a headline observation, current medication review, recent observations summary, specific questions to ask the doctor, and things to watch for between now and the appointment.
- To generate a structured Home Readiness plan — prioritized recommendations for aging-in-place modifications, with links into a curated resource library.
- To save reports locally so you can re-read them, share them with siblings or care-team members, or bring them to the appointment.
- To manage your subscription status via Apple StoreKit.
- To improve app performance and respond to support requests.
3. Third-Party Services
Google Gemini AI (via Firebase AI Logic)
When you generate a Visit Prep report, the following data is sent to Google's Gemini AI service for processing:
- Your parent's age and relationship label (for example, "78-year-old father"). The parent's name is not sent.
- Active medical conditions you have selected from the in-app list.
- Current medications (drug name, dose, and schedule).
- Recent observations you have logged, including any vitals (blood pressure, temperature, weight).
- The upcoming appointment context (specialty and reason for visit, if you entered them).
- Your optional one-line caregiver concern, if you entered one.
When you generate a Home Readiness plan, the following data is sent:
- Your parent's age, relationship label, and active medical conditions.
- Mobility status (independent / cane / walker / wheelchair) and fall history if you have entered it.
- Home setup (single-story or multi-story, number of bathrooms) and whether your parent lives alone.
- Your optional one-line caregiver concern, if you entered one.
Your parent's name, your name, your location, contact information, doctor's names, pharmacy details, and any other personal identifiers are never sent to Google. Google processes the data we do send according to their Privacy Policy and Generative AI Terms of Service. We do not retain copies of your AI requests on our infrastructure.
Firebase
Used by CareMynd for Remote Config (managing the Gemini model identifier and feature flags) and for the Firebase AI Logic SDK that routes your AI requests to Google Gemini. Firebase App Check verifies that requests come from a genuine CareMynd app instance. No personal user data is stored in Firebase by CareMynd.
Cloudflare
CareMynd uses Cloudflare to host the Home Readiness resource library — the curated articles, checklists, and product categories the AI references in its Home Readiness plans. Only the resource library files are fetched. No personal data, parent data, or app usage data is sent to Cloudflare.
Apple StoreKit
Subscription purchases, restorations, and management are handled entirely by Apple through StoreKit 2. Payment processing is governed by Apple's Privacy Policy. Pearlcity LLC never sees or stores your payment information.
4. Data Storage & Security
- All your parent profiles, medications, appointments, observations, care team contacts, and saved reports are stored locally on your device using Apple's SwiftData framework.
- CareMynd does not currently sync between devices. Each device has its own local store.
- AI requests are transmitted securely via HTTPS through Google's Firebase AI Logic SDK.
- CareMynd does not operate any servers that store your personal parent, health, or care data.
5. Data Sent to AI (Explicit Disclosure)
When you use an AI feature (Visit Prep or Home Readiness), the data fields listed in Section 3 are sent to Google's Gemini AI service for processing. This data is:
- Sent only when you explicitly tap Generate inside an AI feature.
- Limited to the specific medical context relevant to that question (no parent name, no caregiver name, no contact info, no doctor's name, no pharmacy).
- Not stored permanently by CareMynd or Pearlcity LLC on any server.
- Subject to Google's data processing policies once received.
You can revoke AI data consent at any time in the app's Settings screen. Revoking consent disables all AI features. Your existing parent profiles, medications, appointments, observations, contacts, and saved reports continue to be readable, and your subscription status continues to be managed normally.
6. Free Tier & Rolling Usage Window
CareMynd's free tier includes 5 AI actions per rolling 365-day window, counted from the date of your first AI action. Unlike most apps with monthly resets, CareMynd's window does not reset at the start of each month — each AI action you take is remembered for one year and counts against your allotment for that full year. We chose a yearly rolling window because aging-parent care tends to be event-driven (an upcoming appointment, a new diagnosis, a hospital discharge) rather than steady monthly use. CareMynd Pro removes the limit.
7. Data Retention
- All your parent, medical, and care data is stored locally on your device. Deleting the CareMynd app removes all data.
- You can delete individual parent profiles, medications, appointments, observations, contacts, and saved reports from within the app at any time.
- Pearlcity LLC does not retain any copies of your parent, medical, or care data on any server.
8. Your Rights and Choices
- Revoke AI data consent: Toggle "AI Features" off in Settings at any time. The app's existing data and saved reports are still readable; new AI reports cannot be generated until consent is restored.
- Delete individual records: Each parent profile, medication, appointment, observation, contact, and saved report can be deleted from within the app.
- Delete all data: Uninstall CareMynd to remove all locally stored data.

9. Medical Disclaimer
CareMynd is not medical advice and is not a substitute for professional medical care. The Visit Prep reports, Home Readiness plans, questions to ask the doctor, observation summaries, medication review notes, and aging-in-place recommendations generated by CareMynd are organizational tools designed to help a family caregiver prepare for appointments and conversations with their parent's care team. They are not a diagnosis, not a prescription, and not a treatment plan. They do not replace the judgment of a licensed physician, pharmacist, nurse, occupational therapist, or other healthcare professional. CareMynd does not, and cannot, replace a hands-on examination by a qualified clinician. Always consult your parent's doctor, pharmacist, or care team for medical decisions, medication changes, and any clinical concerns. In a medical emergency, call 911 or your local emergency number immediately. Pearlcity LLC and CareMynd do not assume liability for outcomes resulting from reliance on AI-generated content, including any injury, harm, or loss arising from caregiving decisions.
10. Children's Privacy
CareMynd is designed for adult caregivers, typically adult children helping aging parents. The app is not directed at children under 13, and we do not knowingly collect personal information from children under 13.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy and updating the effective date at the top of this page. Your continued use of CareMynd after changes constitutes acceptance of the revised policy.
